1. Who we are and scope
Locations Axion inc. (“Axion Rentals,” “we,” “us”) operates www.axionlocations.com to present its equipment and receive contact, quote, project-help and machine-request inquiries.
The website is inquiry-only. Submitting a form does not confirm a reservation. This policy covers personal information processed through the website and when we follow up on those inquiries.
2. Information we collect
Depending on the form and what you choose to provide, we may collect:
- your name, company, email address, telephone number and preferred contact method;
- the equipment requested, proposed dates and duration, frequency of need and budget;
- the project address or area, delivery needs, measurements, access conditions and work description;
- up to three optional photos through the project-help form;
- your messages and any useful details you voluntarily add.
Hosting and security systems may also automatically process technical data such as IP address, date and time, requested page, and browser or device information. To limit abuse, the site derives a rate-limit key from the IP address and normally keeps it for approximately 15 minutes in temporary application memory.
Do not send sensitive information that is not needed. In a photo, avoid people, licence plates, documents and confidential details unrelated to the project.
3. Why we use it
- respond to your inquiry and contact you using your preferred method;
- assess the project, check equipment and dates, and prepare a quote;
- arrange delivery, pickup and, if you proceed, the rental;
- prevent spam, fraud and misuse, and protect the website;
- meet accounting, tax, insurance and legal duties and manage disputes;
- only with your permission, measure general use of the website and its forms.
Fields marked required are needed to process the inquiry. You may refuse to provide them, but we may then be unable to respond or prepare a quote. Photos, company name and other fields marked optional are not required.
4. Providers and processing outside Quebec
We limit access to people and providers that need the information for the purposes described above:
- Vercel
- Website hosting, form execution, technical logs and security.
- Resend
- Transmission of website inquiries by email.
- Google Workspace
- Receipt, retention and internal collaboration on inquiries in Axion business accounts.
- Google Analytics
- Optional website measurement, only after you accept.
These providers may process or store information outside Quebec and Canada, where government-access rules may differ. We assess the relevant privacy factors and use available contractual commitments and security controls before entrusting information to them.
We do not sell or rent personal information. We may disclose it where required by law, to protect our rights or safety, or as part of a business transaction governed by confidentiality obligations.
5. Analytics, cookies and your choice
Google Analytics is blocked by default. The Google tag loads only after you select “Accept analytics.” Refusing does not prevent any website function or form from working.
After you accept, Google Analytics may process information about viewed pages, the session, browser, device and approximate region. Axion also sends limited events when a form is successfully submitted or a telephone or email link is used. For forms, only the form name is included: no name, contact detail, message, address, budget or photo is sent to Google Analytics.
Your choice is stored in this browser’s local storage until you change it or clear browser data. Google Analytics may create its own cookies after acceptance. If you withdraw consent, the site changes analytics to denied and attempts to remove accessible Google Analytics cookies on Axion’s domain.
6. Retention, destruction and anonymization
We retain inquiries, messages and photos only for as long as reasonably needed to respond, follow up, manage a rental or dispute and meet our obligations. Records connected with a transaction may be retained longer where tax, accounting, insurance or other laws require it.
Once the purposes are complete and no duty requires retention, we destroy the information or anonymize it in accordance with applicable practices. The analytics preference remains in your browser until you change it or delete local data.
7. Security and internal access
We use reasonable administrative, technical and physical safeguards appropriate to the sensitivity of the information, including encrypted connections, business accounts, access controls and mechanisms against automated submissions.
No transmission or storage method is risk-free. If an incident presents a risk of serious injury, we will take the steps and provide the notices required by law.
8. Profiling, automated decisions and minors
We do not use form information to make a fully automated decision and do not use it to build an advertising profile. Optional analytics is used only to understand general website use.
The website is not directed to children under 14. A parent or guardian should contact us before providing personal information for a child.
9. Access, correction, withdrawal and complaints
Subject to exceptions in the law, you may request access to personal information we hold about you and ask that it be corrected. You may also withdraw consent for an optional use. Withdrawal does not make prior lawful processing retroactively invalid, and some information may need to be retained to meet the law or complete a transaction you requested.
